FRMWRKS processes personal data from several categories of individuals. This includes website visitors who interact with our online presence, leads who fill in forms on our website or during our events, customers with whom we have an existing or ongoing business relationship, event and webinar attendees who provide information to participate, partners and suppliers who cooperate with us in a professional context, and job applicants who submit information for recruitment purposes.

We collect different types of personal data depending on the interaction. Identity and contact details such as names, email addresses, phone numbers, company information, and job titles are collected whenever necessary to communicate or provide services. We also process business‑related and contextual information that is publicly available, such as industry, company size, professional role, and decision‑maker status, often derived from LinkedIn or similar public sources. Marketing and communication information is processed as well, including newsletter subscription data and unsubscribe status. During website visits, HubSpot automatically collects technical information such as IP addresses, browser types, device characteristics, visited pages, and interactions, depending on your cookie choices. In addition, FRMWRKS keeps sales notes created during personal interactions, calls, or meetings. Billing and financial information is processed for invoice handling, payment follow‑up, and customer account management. FRMWRKS does not process sensitive data such as health information, religious beliefs, or other special categories of personal data.

Personal data is collected in several ways. Individuals may provide their information directly through forms, email, telephone, or personal interactions. Automated data collection takes place when visiting our website, where the HubSpot platform gathers technical information based on the visitor’s consent. We also receive publicly available third‑party data, or information shared under the terms and conditions of those third parties. Additionally, personal data is acquired offline when individuals fill in forms at events or fairs and this information is later processed within our systems.

We process personal data for clearly defined purposes. We handle inquiries, quote requests, and general communication on the basis of a customer relationship or pre‑contractual necessity. Our sales pipeline and CRM management activities rely on the same basis, allowing us to maintain accurate records and follow up appropriately. For email marketing, newsletters, and similar communications, we rely either on explicit consent or on a soft opt‑in where applicable for existing customers. Event and webinar registrations, including follow‑up communication, are processed with the consent of the individual or based on their voluntary opt‑in. Website analytics and performance data are processed only when a visitor has accepted cookies that enable this activity. Data required to fulfil customer contracts is processed under contractual necessity, whereas invoicing and accounting activities are processed under legal obligations. Security, fraud prevention, and logging are processed on the basis of legitimate interests. FRMWRKS does not use UTM parameters to associate specific campaign data to individual contacts.

All personal data collected by FRMWRKS is stored primarily within HubSpot. Our website is hosted by Combell and partially by HubSpot, depending on the specific pages. We do not share personal data with third parties for their own purposes or marketing activities. Any third‑party involvement is strictly limited to service providers acting on our instructions.

Some of our service providers, such as HubSpot, may process personal data outside the European Economic Area. When this occurs, FRMWRKS relies on appropriate safeguards, including Standard Contractual Clauses (SCCs) and contractual data protection agreements. HubSpot implements technical and organizational security measures such as encryption and strict access control, which help ensure that international data transfers remain lawful and secure.

FRMWRKS retains personal data only as long as necessary for its purposes. Technical and analytics data is kept for 90 days. Lead data is kept for the duration of the customer relationship or as long as it remains relevant. Customer data related to invoicing and financial administration is retained as required by Belgian accounting legislation, which generally implies a minimum period of several years.

Under the GDPR, individuals have several rights concerning their personal data. These include the right to access their data, request corrections, ask for deletion, limit certain types of processing, object to processing, or request a copy of their data in a portable format. Individuals may also withdraw consent at any time when processing is based on consent. Requests can be submitted to privacy@frmwrks.eu. FRMWRKS may ask for additional information to verify the identity of the requester. We may decline deletion requests when legal retention obligations require us to keep specific records.

Internal devices and systems are protected according to modern security best practices.
